Human Resources Information System Officer Jobs Description
Under the supervision of the Senior HR Coordinator- Compensation & Benefits and dotted Line-Management of the HR Manager, the HRIS Officer will be responsible for collecting relevant staff information from the area offices, updating the HRIS (Effective Staff), as well as monitoring ER system and providing support to staff on completion of timesheets, running reports as well as providing support to the CO. using the information received and regularly maintaining records in the HR database.
In addition, the HRIS officer will generate reports for management use on contracts, personnel information and ad-hoc reports and statistics as required by management.

Dimensions:
KEY AREAS OF ACCOUNTABILITY:
Managing “Effective Staff” (SCI HRIS System)
Ensure the HRIS and other key systems are appropriately updated and utilised in a timely and accurate manner. This includes setting new starters, terminating leavers, amending personal details, updating contract information, inputting performance ratings, training information and absence.
Work closely with finance to ensure HR information related to effort reporting is accurate.
Lead on data quality on HRIS in collaboration with area offices HR colleagues and ensuring that high level of data quality is maintain on HRIS.
Liaise with HR teams at the area offices to ensue personal data are secure and filed timely including monthly timesheets.
Providing a comprehensive Effective Staff reports and statistics to the HR Director or as requested.
Build strong and collaboration relationships with key HR teams in area offices.
Be the point of contact for all Country office HRIS users regarding HRIS issues, queries and enhancements.
Maintain confidentiality in respect of all staff records whether manual or computer maintained and ensure that all records are held securely.
Carry out regular HRIS systems audits by supporting the vetting of records form the centre.
Prepare regular and ad-hoc reports for management based on HRIS and other key systems.
Maintain personal and professional development to meet the changing demands of the job and participate in appropriate training activities.
Liaise with the centre team responsible for the HRIS for technical support and updates on HRIS.
Clear and clean up the HRIS data.
Payroll Processing
Support Senior HR Coordinator with collation of payroll actions from the area offices (field locations).
Work with finance and Senior HR Coordinator in preparing and ensuring relevant support documents for various actions points (overtime, deductions, and disbursement) are in place.
Employee Insurance Enrolment (GPA, Medical etc.)
Receive and verify CIC enrolment forms and forward for processing accordingly.
Serve as a contact point for staff during CIC service enrolment process.
Support Senior HR Coordinator with annual evaluation surveys on the level of cover, customer care offered by health providers, and developing follow up action points from the evaluation feedback.
Timesheets Management and Reporting
Provide support in the coordination and submission of timesheets and updating the staff timesheet.
Receive timesheet allocation matrix and ensure its shared with all staff in the country office.
Compile and share monthly reports on timesheet submission to allow dedications for noncompliant individual.
For accurate reporting, liaise with HR Staff to ensure key staff data is regularly updated in the system.
Leave Management and administration
Support both line managers and staff on annual leave approval process
Work with Finance and Senior HR Coordinator on annual leave reconciliation
Update the leave in Oracle System
Prepare quarterly leave utilization reports and share with Management.

QUALIFICATIONS AND EXPERIENCE AND ATTRIBUTES
Qualifications
Bachelor Degree Human Resource, Business administration, Social Science, Public administration or equivalent.
A minimum of 3 years of work experience in Human Resources or administration in a corporate or NGO environment.
Knowledge and experience in managing HRIS systems and related IT applications
Proficiency in use of Microsoft office applications especially MS Excel
Good analysis and database management skills
Excellent interpersonal skills, collaborative style and approach, and ability to work effectively across cultures
Ability to plan and organize a substantial workload that includes complex, diverse tasks
Ability to work under high pressure environment and able to deal with ambiguity and change in those contexts
